DATA PROTECTION POLICY

Introduction

The aim of this policy is to comply with relevant legislation in regard to the keeping of employment records and customer data. DJ Resounding requires personal information relating to each individual in order to manage its business in an efficient and effective manner; this data is subject to the General Data Protection Regulation (GDPR) 2018. DJ Resounding wishes to act and comply with the principles of this Act.

Definitions

DATA:
 Includes computerised data, manual data and any other form of accessible record that includes personal information held by DJ Resounding..
PERSONAL DATA: Is that which relates to a living individual who can be identified by the data.
DATA SUBJECT: A data subject is an individual that is the subject of any personal data.

Policy

It is the intention of DJ Resounding to adhere to the principles of the Data Protection Act. Therefore the data protection policy applies to all employees and to any other party that handles data for on behalf of DJ Resounding.

Any personal data collected will:
  • Be used by the Company in accordance with the Data Protection Act
  • Be obtained and processed fairly and lawfully, in particular, shall not be processed unless specific conditions are met.
  • Be relevant and not excessive in relation to the purpose for which it was collected.
  • Be accurate and, if necessary, kept up to date.
  • Not be kept for for longer than necessary for the specified purpose.
  • Be processed in accordance with the rights of data subject in accordance with the Act.
  • Be stored safely to avoid unauthorised access, loss and/or damage.
  • Not be transferred to a country outside the European Economic Area unless it ensures an adequate level of protection for the rights of the data subject.

DJ Resounding will inform any data subjects;
  • What information the Company holds about them.
  • How to gain access to the data.
  • How to keep data held up-to-date.

NON COMPLIANCE

All employees have a role to play in enforcing the policy and are required to deal with any observed or reported breaches. Should employees feel apprehensive about their own safety in regard to addressing any breach, they should seek senior management support.

Failure to comply with this policy may lead to a lack of clarity over job role, learning needs or expected standards of performance, resulting in reduced effectiveness or efficiency, under performance and putting service delivery at risk.

Any member of staff refusing to observe the policy will be liable to disciplinary action in accordance with DJ Resounding's Disciplinary Policy up to and including dismissal.

Implementation of the Policy

Overall responsibility for the policy implementation and review rests with DJ Resounding's senior management. However, all employees are required to adhere to and and support the implementation of the policy. DJ Resounding will inform all existing employees about this policy and their role in the implementation of the policy. They will also give all new employees notice of the policy on induction to DJ Resounding's company.

This policy will be implemented through the development and maintenance of procedures for appraisals and one-to-one meetings, using template forms, and guidance given to both managers and employees on the process.

CUSTOMER FEEDBACK POLICY

Introduction


Everything we do is guided by our customers. DJ Resounding needs to base is decisions on a positive understanding of our customers.

With this in mind DJ Resounding:
  • Listens to our customers and responds to their needs.
  • Encourage staff to work with our customers.

If we are to strive to improve all that we do, we need to welcome feedback, including complaints from our customers. Feedback allows us to repeat what is good and correct what is not.

Policy

The aim of this policy is to underline the worth we place on customer feedback and establish measures to ensure that all feedback is collected, managed and used to help us improve how we do business. All employees will encourage and recognise the right of all our customers to provide feedback. We will value all feedback given and expect our staff to respond to the feedback courteously and in a way that resolves any dissatisfaction promptly and effectively. We will encourage customers to give feedback in writing and provide a number of ways in which they can make a comment.

Response

DJ Resounding will provide a response to all feedback received. The procedures of this policy are step 1 - Feedback received Step 2 - You will be contacted thanking you for your feedback Step 3 - Feedback looked at Step 4 - You will be contacted if we need to tell you about any further action. The timescale to which Step 1 to 3 will take depends on the amount of feedback we get at that time but DJ Resounding aims to get these steps done within 2-3 working days. The timescale to which step 4 will take depends on what further action(s) there is to take but DJ Resounding aims to have this done within 4 working days. All in all the response time scale will be 5-7 days to be completed and if it will take longer we will contact the customer to keep them updated.

Unresolved Feedback

In the unlikely event that we have been unable to respond to a complaint satisfactorily, then the customer may recontact us with anything the feel that has not been resolved - we will always prioritise a complaint if it has already been seen to and the customer feels dissatisfied.

Non Compliance
